Privacy Policy
This Privacy Policy explains what information Elemental Forensic Services LLC (“Elemental Forensic Services,” “we,” “us” or “our”) collects when you visit www.elementalforensicservices.com (the “Site”) or contact us through it, how we use and share that information, and the choices you have. It covers this Site only. Engineering services are provided under a separate written agreement.

This policy is also available in Spanish and Russian. If a translated version and the English version differ, the English version controls.
1. Who we are
Elemental Forensic Services LLC is an independent forensic engineering practice based in Tampa, Florida. We are responsible for the personal information collected through this Site.
If you have a question about this policy or about your information, email info@elementalforensicservices.com.
2. Information you provide
When you send an inquiry through the contact form, we ask for your full name, your email address, your role (for example, property owner, insurance carrier or adjuster, public adjuster or attorney), the type of loss, the property location (city and county) and a short description of how we can help.
You may also choose to give us your company or firm, your phone number, the date of loss, the claim number and how you heard about us.
Along with your inquiry, the form sends a few technical details: the language version of the Site you used and, when available, the address of the page where you first arrived on the Site, including any tags in that link (such as utm_source or an ad click identifier), and the website you came from. Your browser keeps these details in its session storage only until you close the tab.
If you email or call us directly, we receive your email address or phone number and anything you include in your message or tell us during the call.
The Site does not accept file uploads or attachments. Please do not send photographs or documents until we have replied (see the important notice below).
3. Important: no engineer-client relationship
Submitting the contact form, emailing us or calling us does not create an engineer-client relationship or any professional engagement, and it does not make your information confidential or privileged. Please do not send sensitive case documents, litigation materials or privileged communications through this website.
We must complete a conflict-of-interest check before accepting any matter. If we can assist and no conflict exists, we will reply with instructions for sending materials. An engagement begins only upon a written agreement signed by both parties.
4. Information collected automatically
Some information is collected automatically when you use the Site:
- Server logs. Our hosting provider, Vercel, automatically processes technical data each time your browser requests a page, such as your IP address, browser type, the page requested and the date and time. This is used to deliver the Site, keep it secure and fix problems.
- Contact form security. When you submit the form, your IP address is used to limit repeated submissions and block spam, and it is included in the inquiry email we receive.
- Vercel Web Analytics and Speed Insights. When enabled, these tools count page views and measure how fast pages load. They do not use cookies. Vercel Web Analytics recognizes a visit by a one-way code (a hash) generated from the incoming request, which is discarded after 24 hours, and gives us only aggregated statistics, such as the pages viewed, the referring website, approximate location, device type, browser and operating system.
- Google Analytics. When Google Analytics is enabled on the Site, it uses cookies to collect information about how you use the Site, such as the pages you visit, your approximate location, your device and browser, and how you arrived. It also records a few events: clicks on our email address or phone number, and a successful form submission together with the role and type of loss you selected. It does not receive your name, your contact details or your message.
- Spam protection. If a security check appears on the contact form, it is provided by Cloudflare Turnstile. To tell people from automated programs, Cloudflare collects technical information from your browser and device, including your IP address, and we send it your IP address to confirm the check.
5. How we use information
We use the information described above to:
- respond to your inquiry and communicate with you about it;
- decide whether an engineering investigation is appropriate and whether we are able to assist, including a conflict-of-interest check before accepting any matter;
- send you an automatic email confirming that your inquiry was received, if that feature is turned on;
- operate, secure and improve the Site, and understand how visitors find it;
- comply with legal obligations and protect our legal rights.
We do not sell your personal information. We do not use your name, contact details or message for advertising. If we advertise with Google Ads, Google Analytics’ record that a form was sent (with the role and type of loss you selected) may be used to measure those ads.
8. How long we keep information
- Inquiries (form submissions and related emails): at least 3 years after our last communication, unless you ask us to delete them sooner. If you engage us, the records of the engagement are kept for as long as professional recordkeeping obligations and the written engagement agreement require.
- Google Analytics: user-level and event-level data is kept for 14 months; aggregated reports may be kept longer.
- Hosting logs and email delivery records: kept by Vercel and Resend for limited periods under their own policies.
When the applicable period ends, records may be moved to a secure, access-restricted archive instead of being deleted. A request to delete your inquiry data (see “Your choices and rights” below) also applies to archived copies, subject to the exceptions described there.
9. Your choices and rights
You can ask us to give you access to, correct or delete the personal information you sent us through the Site. Email info@elementalforensicservices.com, preferably from the address you used to contact us, so we can confirm that the request is yours. We will respond within 30 days and, if you ask us to, delete your inquiry data within 30 days.
We may keep information when the law requires it or where needed to establish or defend legal claims. After a deletion request, we keep a minimal record (your name, the date of your inquiry and the general nature of the matter) so that we can run conflict-of-interest checks.
10. Children’s privacy
The Site is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has sent us information, email info@elementalforensicservices.com and we will delete it.
11. Security
The Site is served only over an encrypted HTTPS connection. Access to inquiry emails and to the accounts used to run the Site is restricted and password-protected.
No website, email or internet transmission is completely secure, so we cannot promise absolute security. Please do not send sensitive information through the Site.
12. Links to other websites
The Site links to websites we do not control, such as licensing boards and our service providers. Their privacy practices are governed by their own policies.
13. Where information is processed
We are located in the United States, and the Site is intended for visitors in the United States. Information you provide is processed and stored in the United States and in any other country where our service providers operate.
14. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page shows when it was last revised, and changes take effect when they are posted here.
